Public Affairs Administrative Assistant

LOCATION: Tigard, OR
SALARY: $24-30 per hour
SCHEDULE: Full-Time, Hybrid (work from home and in-office), Monday – Friday, 8:00 AM – 5:00 PM

THE ROLE
The Public Affairs Administrative Assistant will provide comprehensive administrative and secretarial support to the Public Affairs program and its Director. This position involves managing sensitive materials, assisting in budget forecasting, coordinating communications, and supporting various public affairs-related functions, including event planning and logistics.
PRIMARY RESPONSIBILITIES
• Provide administrative support to the Director of Public Affairs and Public Affairs program.
• Serve as primary contact for program information and manage confidential materials.
• Assist with preparing documents, correspondence, and reports related to government and legislative processes.
• Coordinate high-level position vacancies, including managing candidate data and scheduling interviews.
• Support budget forecasting and track expenditures for the Director.
• Organize internal functions, maintain databases, and manage data for analysis.
• Collaborate with Creative Services to design and prepare communication materials.
• Plan and coordinate events, including logistics for on-site and off-site activities.
• Proofread and format internal and external communications, including news publications.
• Assist with research and communication of legal and judicial matters, and update content on websites and social media.
SKILLS AND MUST-HAVES
• Event planning and coordination experience.
• Attention to deadlines, particularly during legislative sessions.
• Legislative knowledge or experience (highly desired).
• Five years of administrative experience, ideally in a corporate or executive setting.
• At least two years of experience in a legislative or judicial environment (preferred).
• Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Access or database management.
• Ability to handle confidential information with discretion.
